Information we collect through this website
If you complete an enquiry form on this website, we collect your name, your email address, your telephone number if you choose to give it, and whatever you write in your message. We use this only to respond to you and to keep a record of our correspondence. We do not record your IP address or browser details alongside these enquiries, and we do not use the information for marketing.
Our web server also keeps standard technical logs, and the site uses cookies. Where those cookies are not strictly necessary — for example, the Google Analytics cookies we use to understand how the site is used — they are only set once you have given consent through the cookie banner. You can change or withdraw that consent at any time using the consent control on the site.
For the technical detail of every cookie and third-party service used on this website, please see our Cookie Policy and Privacy Statement.
Our lawful basis for website information
We rely on our legitimate interests to respond to enquiries made through the site, and on your consent for any non-essential cookies and analytics.
Information about families who use our services
Where a family is referred to, or placed at, one of our centres, we necessarily hold much more detailed information. This can include personal and family details, health information, and records relating to safeguarding, parenting capacity and the assessment itself. Some of this is special category data, and information about children.
This information is held because it is necessary for us to carry out our work and to meet our legal duties as a registered residential family centre — including our duties to safeguard and promote the welfare of children. It is treated as confidential and is only accessible to staff who need it.
If you are, or have been, a family placed with us, and you would like specific information about the records we hold, why we hold them, how long we keep them, or who they have been shared with, please contact us using the details above and we will provide it.
Who we share information with
We do not sell personal information and we do not share it for marketing. Information about families is shared only where we are required or permitted to do so — for example with the placing local authority, the courts, Ofsted as our regulator, and health and social care professionals involved in a family’s care. Where there is a safeguarding concern, we will share information with the relevant authorities without delay.
For the website, we use service providers who process limited information on our behalf: our web host, our email delivery provider, Google Analytics, and Exactly WWW LLC (trading as EWWW IO), which delivers the images and other files that make up our pages. Because this website is hosted in Europe, that delivery is carried out from servers in Germany, and the provider states that visitors’ IP addresses are not retained in the logs those servers produce. These providers act on our instructions.
How long we keep information
We keep website enquiries only for as long as we need them to deal with your enquiry and to keep a reasonable record of our correspondence. Records relating to families are kept for the periods required of a registered residential family centre; we will confirm the applicable period on request.
Keeping information secure
We use appropriate technical and organisational measures to protect personal information, including access controls, encryption of the website, and staff training on confidentiality and safeguarding.
Your rights
Under UK data protection law you have the right to ask us for a copy of the information we hold about you, to ask us to correct it if it is wrong, and — in some circumstances — to ask us to delete it or to restrict or object to how we use it. You also have the right to withdraw consent where we rely on it, and to ask for your information in a portable format.
Some of these rights are limited where we hold information in order to meet a legal duty, or where releasing it would put a child at risk or reveal information about another person. If we cannot meet a request in full, we will explain why.
To exercise any of these rights, please contact us at [email protected]. We will respond within one month.
Concerns and complaints
If you are unhappy with how we have handled your personal information, please tell us first so that we have the opportunity to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection:
- Website: ico.org.uk/make-a-complaint
- Helpline: 0303 123 1113
